PRACTICAL WORKFLOW GUIDE · OCTOBER 11, 2026

A customer inquiry needs more than a reply.

For a small service business, the next step can get buried between email, social messages and a busy workday. Start with a process you can review: give each inquiry an owner, a specific next action and a follow-up date.

Try the process before buying software. Our free interactive demo lets you find an overdue sample inquiry, save a new one and review the queue.

The demo uses sample information. It tracks work in your browser; it does not send messages, connect to your inbox or run background reminders.

Five steps for inquiry follow-up

  1. Record the inquiry once. Use a reference, arrival date, source and current stage. Keep passwords, payment details and confidential customer records out of the public demo.
  2. Assign an owner. Name the person responsible for the next step, even when the business has only one person.
  3. Write a specific action. “Send the requested quote” or “ask for a preferred appointment date” is easier to carry out than “follow up.”
  4. Set a follow-up date. Agree on a realistic date, then review due and overdue work each business day. Contact the customer through your approved channel.
  5. Update the record. After contacting the customer, record the new status and next step. Close completed work and export a backup.

What should you measure?

Take a baseline before changing the process. Track inquiries missing a next step, overdue follow-ups and time to the first human reply. After two weeks, compare similar periods and note changes in workload or staffing. These comparisons describe what happened; they do not prove that a tool caused the result.

Where does AI fit?

Once the process is clear, possible pilots include drafting replies for approval, summarizing an inquiry or suggesting a next action. These are opportunities to assess and test. The current public Quantahalo preview does not call an AI provider or automatically handle customer messages.

When should you ask for help?

If ownership, handoffs or tool choices remain unclear, a personal review can help define a focused pilot. Quantahalo’s AI Workflow Diagnostic costs $149 and includes a human review of one workflow, bottlenecks, practical opportunities and a prioritized action plan.

Asking about fit is free. Scope, availability and delivery dates are confirmed before payment. Implementation, software subscriptions and ongoing support are separate. A $750 workflow setup is separately scoped for one inquiry-to-follow-up process.

Frequently asked questions

Do I need a membership to try the demo?

No. The demo is free, and no $29 membership is required to ask about the diagnostic.

Will the demo send follow-ups for me?

No. Your team sends messages. Any inbox connection or reminder automation needs separate scope, setup and testing.

Can I start with my existing tools?

Describe your current tools in the intake. We assess whether they can support the process before recommending additional software.
